  • The October minutes were reviewed.
  • Eileen Kohlenberg handed out the October/November treasurer’s report.

9/18/02 Balance = $4,002.14

11/1/02 9/18 Balance + Revenue = $14,748.64

11/4/02 9/18 Balance + Revenue – Expenditures = $8,654.52

The revenue from the stadium cushions is short of covering the expenses of the cushion.

  • Deb Bingham reported the Citrus Fundraiser totals. She was very pleased with the effort for the citrus sale. Gary Blocker commented that if we choose the right program and the right product, the students can make a difference and add to the fund raiser total. Quite a few of the students waited until the last week to start selling and then realized that it was not as hard as they expected it to be to get orders for the fruit. The students have suggested that they start selling sooner in the year.

Overall totals = 580 cases sold

Total Sales = ($10,556.00)

Citrus Expenses = ($5,158.20)

PROFIT = ($5,397.00)

Highest overall sales: 1st place Emily Blocker @$1,132.00; 2nd place David Fields @ $585.00 and 3rd place Caitlin Bingham @ $479.00.

  • Other fund raising ideas were discussed with the following suggestions being mentioned: Krispy Kreme cards; buying candy from Sams and marking it up for the students to sell; Pride Card; Papa John’s coupon sheets; the drum line to play at a local grocery story for donations as they have done in the past; Chik-Fil-A will donate a percent of sales on a specified night; parents pledge a monthly amount. It was suggested that the band students come up with a list of fund raising ideas since they are the ones who will need to participate.

Dexter Irving said that the Football boosters bring the "new" freshmen parents over ahead of time and get them involved. He commented that if the band boosters contacted parents of freshmen band students coming into the band it would be a great asset to the band effort.

Corporate Sponsors: When the band travels, it would be ideal if we had a van or truck that showed the high school and band name and the names of corporate sponsors. It was agreed that our program and newsletters should include all names of corporate sponsors.

It was commented that the Football Boosters are looking at making the sponsor board a combined fundraiser with the band.

Gary Blocker discussed a "buy a brick program" where parents or anyone else can buy a brick for a $50 donation thereby leaving a permanent record with someone’s name to be placed on a brick path. This type of program takes a LOT of planning, and it is not a trivial donation.

It was suggested that we might want to contact WGHS alumni committees before reunions asking for donations to the band. We could remind old band members that the band room looks exactly the same as it did when they were in the band --- only more worn. All donations would be gladly accepted.

  • Carlos Arango from the band asked about continuing the tradition of having individual pictures taken and framed like some of the previous bands had done.
  • Senior Night was successful thanks to the efforts of Sharon Baker. She has agreed to head the Hospitality Committee, but this committee needs additional volunteers. Eileen Kohlenberg and Deb Bingham will also be on the committee.
  • It was clarified that the band cannot charge an admission to their concerts, but we can ask for a donation.
  • The band will march in two parades during the holiday season – High Point on 11/26/02 and Greensboro on 12/7/02.
  • Ms. Hance spoke to Ms. Love about attending away football games, and Ms. Love wants the band to support the away games. Ms. Hance feels that the band cannot go to all away games because of the travel cost to the band.
  • Ms. Hance discussed the band trip to Atlanta. Tommy Smith who is handling all the transportation and details needs to know when the trip will be and how much it will cost in order to begin planning for the trip. Ms. Hance will e-mail Mr. Smith with any questions and have his response by the next meeting. There are not many weekends available for a trip and we are looking at April 11, 12 and 13. There will be conflicts for some people no matter what date is chosen --- but Ms. Hance will confirm the dates of baseball tournaments, the prom, track meets, spring break, Palm Sunday; Easter; school testing and anything else that is going on at school. She does want the band to perform on the band trip. The trip will be 2 nights and 3 days, leaving early on Friday and returning Sunday night. The trip to 6 Flags and the performance will be on Saturday. Other places to visit are Underground Atlanta, World of Coke, a dance club. Another group of students went to Atlanta and attended a teen dance club and everyone had a great time.

Based on other trips, parents suggested that the band stay at a nice hotel with an indoor pool. The cost will be no more than $300 per student. Fortunately, many students have already earned money through the citrus sale.

If any student is causing is a serious problem, he/she will be sent home from Atlanta at the parent’s expense.

Two to three chaperones will be needed on the bus. The Hospitality Committee will look into having drinks, sandwiches, chips and snacks on the bus coming back. Elizabeth Arango volunteered to buy the food for the trip. There will be movies shown on the bus – the rating to be approved by the band director.

  • Gary Block reviewed the stadium cushion fund raiser. The cushions were sold for $5.00, and we have more cushions to sell before breaking even. It was suggested that we try to sell some of the cushions at basketball games and track events along with the idea of finding out if seats could be sold at the concession stands during football games. Gary wants more volunteers to handle selling the cushions at these various school events.
  • NEW BUSINESS

Ms. Hance has a basketball schedule and will put together a pep band to play at the games.

Ms. Hance has started writing grants to get additional money for method books and instruments. She told us that there is a lot of money "out there" waiting to be given if you are asking the right person for it. Dexter Irving volunteered to write a letter outlining how the Band Boosters support the band program to go along with the grants she is writing.

There is a stereo system with no speakers in the band room, and Ms. Hance wondered if anyone has a set to donate?? She wants to record the December band concert but has no way to play the recording for the students without speakers.

  • Cindy Bridges adjourned the meeting at 7:35 p.m.
