What is automation?
Automation is a new and more effective way of recording the name and location of all library
material and keeping track of who has borrowed material. In the past the library typed all data
on catalogue cards and made a borrower card for each book.
Automation use digital electronics instead of paper and typing to keep a record of all the books
in the library. Bar codes assign a number to each item.
A database of users and a database of everything in the library (book, CD ROMs, Videos, etc) is created and stored in the computer.
So automation includes a catalogue (item data base)
Every time a book is borrowed, the user and the book are " tied" together for the loan period.
When the book is returned, the user and the book are " untied".
At fixed times, the books that have passed the due date are printed out with the name of the borrower.
This way we can quickly and efficiently track down the overdue books. TOP
How Does It Work?
Everyone who wants to borrow a book must be assigned an ID barcode.
In the future, every borrower will have their own, plastic ID card. For now we are attaching the
library bar code to the back of your ID card. A borrower ID number starts with a 2.
Every book that is borrowed must be assigned an
ID barcode. This is placed at the top left-hand corner at the back
of every book. If the book that you want to borrow does not have a
bar code. The library clerk will add it for you. A book ID number
starts with a 3.
Every time a book is borrowed, the circulation clerk uses a " bar code reader" to
link the book and the borrower together in the computer.
When you return your book, you do not have to wait for the circulation clerk to
" unlink" the book from your name. Drop the book you are returning into the RETURN box.
It will be bar-coded and unlinked to your name by the circulation clerk during the day or evening.
Books that are not returned on time are recorded and a 3-day " grace period" is permitted. Fines
are calculated from the 4th day. Overdue reports are printed out at set periods of time and
serious delinquents are blocked from using the library until books are returned and fines paid.
Books can be renewed. Extra time can be given for teachers who are using the book for their courses.
See the supervisor and explain what you need.
Circulation clerks cannot change the date due, but the supervisor can.

Why Automate?
There are 4 main reasons for automating the library.
- Expansion. There are now 4 libraries on Campus. To type catalogue
cards at each branch would be almost impossible and very slow.
And there are more libraries to come.
- Control of Circulation. The computer can quickly and Efficiently
produce a list of overdue books that would Take many days if hand
typed.
- Demand for Books. There are not enough books to go Around.
To ensure that users do not keep books past the time when another
is waiting for the book. Overdue must be done regularly and quickly.
Automation means that we can identify not only overdue books,
but also users who abuse the system. We can " block" users who
do not return books on time .
- Excellent statistics. The computer saves all borrower information. We can survey what books are used the most for buying purposes and we can eliminate the books that are not used at all, to make the shelf space more efficient.

What are the major reasons generally not acknowledged as valid for canceling or reducing library charges?
- Lack of Knowledge of Library Policy.
- Disagreement with the Library Policy.
- Inabilities to pay library fees or charges.
- Materials loaned to a third party.
- Non-receipt or late receipt of library reminder notice.
- Returning items to Library other than UGR Library .
- Being out of town.
- Forgetting due date.
- Term breaks, leaves vacations, exams.
- Transportation problems.
Returning books with one of these reasons will not reduce your library fines. TOP
What are Borrowers responsibilities?
- To provide current address information.
- To Know Library Policies, which are posted through out the Library, are available at the circulation desk or on the library WebPages.
- To be financially accountable for materials checked out to you.
- To report loss of UGR identification card or Library card to the Library.
- To know the due date or time of borrowed materials .
- To return materials in good condition .
- To return or renew materials by the due date or time. TOP
Who can borrow books?
A University of Gondar (UGR) identification card or library card is required to borrow library materials.
UGR students provided that students are second year (sophomore) or above, faculty and staff
are eligible to borrow materials.

Do you have computers for public use?
Yes, The UGR Library is currently preparing 10 desktops to serve students
and staffs publicly. TOP
What do I need to do in
order to get a Library card?
UGR Libraries doesn't give Library cards for first year students. For students who are second year and above, staff, administration can just
Come in to the main or branch libraries, fill out the registration form, provide proof of your being registered officially in the University and a card will be issued to you. There is no cost to get a Library card.

Can I return an item checked out at one Library Branch to another?
Yes, any UGR Library Owned material can be returned to any UGR Library branches. The item will be checked in and returned to the owning branch. TOP
How many books do you have and how large is your budget?
The Library book and other resource collection are around 100,000 items. And the Library total budget is 3,000,000 Birr. TOP

maintains an online catalogue which will become available in all of
the University of Gondar library branches as soon as the internet
connection to each branch is
completed. |
Along with that a
catalogue print out is under construction and will be distributed to
the Maraki and Lideta Campus Libraries whenever the computer
networks are all available. |

Online Journals and research is currently being
initiated by the library staff. Please speak to the professional
staff to make arrangements for in-depth research. Use of Internet
for E-mail purpose is not permitted on the library internet.
